Weekly time card calculator

Type your in and out times. Get hours, overtime and pay.

How it works: Each day is out minus in (overnight shifts roll past midnight), minus your unpaid break. The week is the sum, shown as h:mm and decimal hours. Overtime follows the rule you pick: weekly over 40, daily over 8 and 12, or both.

More options: week start, double time, split shifts

Daily rules (over 8 h, over 12 h, 7th day) follow the California pattern. “Daily, then weekly” applies daily overtime first, then counts regular hours past 40. Not legal advice; your state or employer may differ.

Times in and outType 9a, 5:30p, 1730 or 9:30. Out earlier than in means the next day. Break is unpaid minutes.

The short answer

A 9:00 AM to 5:30 PM shift with a 30-minute unpaid lunch is 8:00 hours (8.00 decimal). Five of them is 40:00 hours, which is exactly 40.00 decimal hours: no overtime under the federal weekly-40 rule. At $20 an hour that is $800.00 gross.

Worked example: a 45-hour week

DayInOutBreakHours
Mon–Thu8:00 AM6:00 PM30 min9:30 each = 38:00
Fri8:00 AM3:00 PM07:00
Week45:00 = 45.00

With the weekly-40 rule, 40:00 is regular time and 5:00 is overtime at 1.5×. At $20 an hour: 40 × $20 = $800.00, plus 5 × $30 = $150.00, for $950.00 gross.

Which time formats work?

Type 9, 9a, 9am, 930, 9:30, 9:30pm, 5:30p, 17:30 or 1730. A bare hour is read as the half of the day that makes the shortest shift, so 9 to 5 is 8 hours and 10p to 6 is 8 hours overnight. A leading zero or an hour above 12 means 24-hour time.

How overtime is split

  • Weekly over 40: the federal FLSA rule. Hours past 40 in the workweek are paid at 1.5×.
  • Daily over 8 (and 12): a California-style rule. Hours over 8 in a day are 1.5×; with double time on, hours over 12 are 2×.
  • Both: daily rules apply first, then regular hours (those not already overtime) beyond 40 in the week become overtime. Daily overtime hours are never counted twice.

Not legal, tax or payroll advice. Check the rules that apply to you with your employer or your state labor department.

FAQ

How do I calculate hours worked on a time card?

Subtract the in time from the out time for each shift, subtract unpaid breaks, and add the days. 9:00 AM to 5:30 PM with a 30-minute break is 8 hours.

How do I handle an overnight shift?

Enter the real out time. If the out time is earlier than the in time, the calculator counts it as the next day: 10:00 PM to 6:00 AM is 8 hours.

What is the difference between h:mm and decimal hours?

7:30 is 7 hours and 30 minutes. In decimal it is 7.50 hours (30 ÷ 60). Payroll systems usually multiply the decimal figure by the hourly rate.

Does it save my timesheet?

It keeps the last times, rate and overtime choices in this browser so they survive a reload. Your name is never saved. Nothing is sent to us.

Can I print it?

Yes. Use Print / PDF under the results. The print view hides the site chrome and shows your name, week-ending date, each day and the totals.
