Short answer: subtract the in time from the out time, subtract unpaid breaks, and add the days. Divide minutes by 60 for decimal hours. Under the federal weekly rule, every hour past 40 in a workweek is paid at 1.5 times the regular rate.
The formula
Worked example: a 45-hour week at $20 an hour
| Step | Result |
|---|---|
| Mon–Thu 8:00 AM–6:00 PM, 30 min break | 9:30 × 4 = 38:00 |
| Fri 8:00 AM–3:00 PM, no break | 7:00 |
| Week total | 45:00 = 45.00 hours |
| Regular (up to 40) | 40 × $20.00 = $800.00 |
| Overtime (5 h at 1.5×) | 5 × $30.00 = $150.00 |
| Gross pay | $950.00 |
Gross pay is before taxes and deductions. Rules differ by state and job; this is not legal, tax or payroll advice.

Frequently asked questions
How do I calculate hours worked from in and out times?
Subtract the in time from the out time, then subtract any unpaid break. 9:00 AM to 5:30 PM with a 30-minute lunch is 8 hours. If the out time is earlier than the in time, the shift crossed midnight and counts as the next day: 10 PM to 6 AM is 8 hours.
How do I convert hours and minutes to decimal hours?
Divide the minutes by 60 and add the hours. 8 hours 15 minutes is 8.25 hours; 7 hours 45 minutes is 7.75 hours.
How is overtime calculated under federal law?
The Fair Labor Standards Act requires covered, nonexempt employees to be paid at least 1.5 times their regular rate for hours worked over 40 in a workweek. A workweek is a fixed 168-hour period, and each week stands alone: hours are not averaged across weeks.
What is California daily overtime?
In California, nonexempt employees generally earn 1.5 times their regular rate after 8 hours in a workday (up to 12) and after 40 in a workweek, and double time after 12 hours in a workday and after 8 hours on the seventh consecutive day of a workweek. Other states differ. Check the rules that apply to you.
Do weekends and holidays count as overtime automatically?
Not under the federal FLSA. Weekend and holiday work is overtime only if it pushes the week past 40 hours, unless a contract, policy or state law says otherwise.
